Position Summary
We are seeking a highly organized and proactive Administrative Manager with a minimum of 3 years of management experience supervising at least five employees and 5–7 years of experience as an Executive Assistant. This role oversees daily administrative operations while providing high-level executive support. The ideal candidate will ensure efficient office management, lead a team, and support senior leadership with strategic and administrative initiatives.
This position operates on a hybrid schedule, combining in-office and remote work, and offers eligibility for performance-based bonuses and company profit-sharing programs.
Key Responsibilities

Supervise, mentor, and coordinate the daily activities of 5+ administrative staff members

Plan, organize, and manage overall office operations to ensure efficiency and productivity

Develop and implement administrative policies and procedures to streamline workflow

Oversee budgeting, expense tracking, and resource allocation

Manage vendor relationships, service contracts, and office supply procurement

Manage executive calendars, schedule meetings, and coordinate appointments

Arrange travel accommodations, itineraries, and process expense reports for executives

Draft, edit, and prepare correspondence, presentations, and reports on behalf of leadership

Serve as a primary point of contact between executives and internal/external stakeholders

Coordinate executive meetings, including agenda preparation, meeting materials, and follow-up action items

Maintain confidential records and sensitive information with discretion

Lead process improvement initiatives to enhance operational effectiveness

Monitor project timelines and ensure administrative support aligns with organizational goals
Required Qualifications

Bachelor’s degree in Business Administration, Management, or related field (preferred)

Minimum 3 years of management experience supervising at least 5 employees (required)

5–7 years of experience as an Executive Assistant supporting senior leadership (required)

Strong leadership and team coordination skills

Excellent organizational and multitasking abilities

Advanced proficiency in Microsoft Office Suite and office management software

Strong written and verbal communication skills

Experience managing budgets and tracking expenses

High level of professionalism, discretion, and attention to detail
