We are seeking a highly organized and proactive Office Manager & Executive Assistant for our client, a boutique Investment firm in Boston, to provide high-level administrative and operational support to senior leadership. This role combines executive support, office management, and event coordination. The ideal candidate is detail-oriented, collaborative, and able to manage multiple priorities while maintaining professionalism and discretion.

We are seeking a highly organized and proactive Office Manager & Executive Assistant for our client, a boutique Investment firm in Boston, to provide high-level administrative and operational support to senior leadership. This role combines executive support, office management, and event coordination. The ideal candidate is detail-oriented, collaborative, and able to manage multiple priorities while maintaining professionalism and discretion.
Key Responsibilities
Executive Support
- Provide high-level administrative support to senior leaders
- Manage complex calendars, coordinate meetings, and schedule across multiple time zones
- Coordinate domestic and international travel logistics, including itineraries, accommodations, and transportation
- Prepare and submit expense reports and assist with email correspondence on behalf of executives
- Ensure executives are prepared for meetings with timely logistics coordination and materials
- Coordinate logistics for departmental meetings, including off-sites, conferences, and community events
- Provide executive meeting support including AV setup, catering coordination, and guest access management
- Ensure smooth day-to-day office operations and maintain a professional office environment
- 2-4 years of experience supporting senior executives and office management
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Experience coordinating travel, meetings, and complex schedules across time zones
- Excellent communication and interpersonal skills
- Ability to handle sensitive information with discretion and professionalism
- Experience supporting investor relations, events, or corporate functions is a plus
- Proficiency with common office tools (calendar management, expense reporting, and collaboration platforms)
