Administrative Operations Associate
Boston, MA | Full-Time
Salary $60,000 - $70,000 + Bonus + VERY Generous Benefits!

Our client, a highly respected global firm, is seeking a polished and proactive Administrative Operations Associate to become an integral member of its Boston office. This is an exciting opportunity for someone who thrives on organization, enjoys working with senior leaders, and takes pride in creating an exceptional workplace experience.

In this highly visible role, you'll wear multiple hats—partnering with leadership, coordinating office operations, and ensuring employees and visitors have an outstanding experience every day.


What You'll Do
Executive & Administrative Support

  • Manage complex calendars for senior executives, anticipating scheduling needs and prioritizing competing demands.

  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and itineraries.

  • Prepare and reconcile expense reports.

  • Handle confidential correspondence and administrative projects with professionalism and discretion.

  • Provide day-to-day support that helps senior leaders stay organized and productive.

Office Operations

  • Serve as the primary point of contact for the Boston office, creating a welcoming and professional experience for employees and guests.

  • Coordinate meeting logistics, conference room scheduling, catering, and client visits.

  • Maintain an organized, well-stocked, and polished office environment, including common areas, kitchens, and supply inventory.

  • Manage incoming and outgoing mail, deliveries, vendor relationships, and facility-related requests.

  • Assist with onboarding logistics, including workspace setup and new hire readiness.

  • Support internal events, team meetings, and office-wide initiatives.

Operations & Team Support

  • Partner with internal teams on vendor invoices, office budgets, and operational projects.

  • Help improve processes and contribute ideas that enhance the employee experience.

  • Ensure adherence to company policies related to information security, confidentiality, and data privacy.

  • Jump in wherever needed to support the success of the broader team.

What We're Looking For

  • Bachelor's degree 

  • 2+ years of experience in office administration, business operations, executive support, or a similar role.

  • Experience supporting senior executives is highly preferred.

  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-moving environment.

  • Strong proficiency in Microsoft Office, especially Outlook, Excel, Word, and PowerPoint.

  • Outstanding attention to detail and follow-through.

  • Professional, polished communication skills and a client-service mindset.

  • Ability to handle confidential information with discretion and sound judgment.

  • Positive, collaborative attitude with a willingness to roll up your sleeves and help wherever needed.
