Incendia Partners is representing a full-service Real Estate investment, development, and property management firm as they hire a Property Manager. Our client is rapidly growing (projected 100% growth over the next 12-18 months) and seeking a hands-on Property Manager who will be excited to build scalable processes and systems to facilitate this rapid growth.

Summary/Objective
The Property Manager is responsible for providing leadership in the day-to-day management activities and functions of the portfolio, as well as working closely with and supporting Senior Management. These functions include tenant relations, capital improvement and maintenance, leasing /re-leasing, financial reporting and managing budgets.

Additionally, the Property Manager will participate in on-boarding new properties into the property management system and in creating and implementing property improvement plans. The portfolio consists of  multiple assets spread across the Greater Boston area (mostly within the 128 Belt) and the successful candidate will enjoy local travel and being onsite at asset locations. The right candidate will embrace working for a small but rapidly growing company and taking on a broad array of responsibilities.


Essential Functions
Tenant Relations:
  • Tenant negotiations: transfers and move out negotiations in accordance with our property improvement plans
  • Liaise with tenants to answer requests, inquires, and other correspondence as needed
  • Work with outside leasing agents to negotiate lease terms and to establish market rates for units
  • Monitor tenant renewal dates, re-lease rates, and keep vacancy % within target guidelines
  • Build strong tenant relationships by responding to requests and inquiries with first class customer service skills

Capital Improvement and maintenance:
  • Create and lead capital improvement and maintenance activities
  • Act as point of contact with tenants to respond to maintenance tickets
  • Lead property evaluations and implementation of asset protection plans including preventative maintenance
  • Create and maintain inspection, compliance, and routine maintenance calendars
  • Coordinate with outside contractors as required
  • Build and maintain strong relationships with a preferred vendor list
  • Periodically review and evaluate new vendors and negotiate contracts and rates

Fiscal Responsibilities:
  • Monitor property budgets in coordination with the Financial Controller
  • Assist in monitoring financial performance of individual properties and make recommendations for action steps if not hitting targets
  • Work with the bookkeeper to ensure timely collection of rents, follow up on late rent payments, arrange payment plans when necessary

Admin:
  • Minimal admin responsibilities as the company engages a virtual assistant to take these mundane tasks off of the Property Manager
  • Represents the company to outside agencies and organizations
  • Assist with evaluating the company’s current processes, procedures, and systems; engage in continuous improvement to scale the organization for continued rapid growth
  • Engage in Ad Hoc projects, reporting, and special initiatives as needed

Requirements
  • Minimum of 3-5+ years of Property Management experience
  • Ability to work both independently and as part of a high functioning team
  • Ability to prioritize and /or multi-task competing priorities  
  • Excellent interpersonal and communication skills (both oral and written)
  • Strong customer service skills
  • Organized and detail-oriented with excellent follow through skills
  • Driver’s License and reliable transportation
  • Local travel around Boston, MA and within the “128 Belt”: 30%-40%
