Accounts Payable & Payroll Specialist


Location: Newton, MA

Position Summary

A growing organization is seeking an Accounts Payable & Payroll Specialist to take ownership of day-to-day AP activity and biweekly payroll processing. This role requires strong attention to detail, comfort with financial systems, and the ability to maintain smooth operations in a deadline-driven environment. Candidates with experience in grant-funded or mission-driven environments are encouraged to apply.

Responsibilities

  • Oversee the full accounts payable cycle, including invoice entry, coding, approval routing, and documentation review.
  • Verify accuracy of invoices by matching to purchase orders, contracts, and receiving records.
  • Maintain complete and organized vendor files (W-9s, agreements, correspondence, etc.).
  • Prepare and execute weekly disbursements (ACH, checks, wires) and reconcile payments to bank activity.
  • Research and resolve invoice, payment, and vendor account discrepancies.
  • Assist with month-end and year-end close, including accrual entries and AP ledger reconciliations.
  • Produce AP aging, audit support schedules, and other reports as requested.
  • Ensure adherence to internal controls and compliance with funding or regulatory requirements.
  • Provide documentation and transaction detail for internal and external audits.
  • Serve as a point of contact for vendor inquiries and maintain positive working relationships.
  • Process biweekly payroll accurately, on schedule, and in alignment with organizational policies and applicable regulations.
  • Perform additional accounting or administrative tasks as assigned.

Qualifications

  • Minimum of 3 years’ experience in accounts payable, payroll, or general accounting.
  • Experience with Paycom preferred; familiarity with AccuFund is a plus.
  • Understanding of GAAP and fund-based or nonprofit accounting beneficial.
  • Strong organizational skills and a high level of accuracy.
  • Proficiency in Excel and Microsoft Office applications.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Associate or bachelor’s degree in Accounting, Finance, or a related discipline preferred.
