Administrative Services Coordinator (60 day trial, then permanent)

We have a client in Waltham who is looking for an Administrative Operations Services Coordinator with solid Excel skills. Our client would like to bring in a temporary employee at first for 60 days, and would hope for a quick conversion to a permanent employee for the right candidate.  Salary target at conversion is: $68,000 – $73,000.

Requirements:

  • Ability to perform at a high level within a fast-paced environment with shifting priorities
  • Critical thinking, analysis, and ability to look at a data set and extrapolate trends
  • Must be able to multi-task in support of large department
  • Consistent excellence in organization, reporting, analytical thinking, communication and time management
  • Proactive, anticipate material demands and project updates 
  • Project administrative coordination / communication
  • Excellent verbal and written communication and correspondence for both formal and informal at all levels both internal and external facing
  • Basic understanding of budget / finance documents, process and trend tracking, understanding of cash flow, along with the ability to understand a P&L and identify changes month to month
  • Identify and report financial trends, and work with the capital expense group
  • Impeccable customer service both internal and external facing
  • Solid Microsoft Office skillset including Excel (pivot tables, formulas), PowerPoint, Word, Outlook, Calendar and scheduling utilization
  • Meeting and Event planning, material development and preparation 
  • A Bachelor’s Degree is a requirement

Nice to Have Skills, NOT REQUIRED:

  • Experienced in Adobe Pro (generate templates / forms, edit, manipulate, convert various source documents) – Not Required
  • Exposure to DocuSign (Workflow Administration) a plus, Not Required
  • Exposure to Concur – Expense software application, Not Required
  • Exposure to retail sales, Not Required
